2027 Martinsburg High School Band Spring Trip Information

We are excited to announce our 2027 Spring Band Trip to New York! The trip will take place March 31 – April 2, 2027, during Spring Break.

This trip is completely optional and is not a required band event. It is simply a fun opportunity for our students, families, and chaperones to travel together, make memories, and enjoy everything the New York area has to offer.

During our stay, students will enjoy a variety of exciting activities and attractions throughout the New York area. We will be staying in New Jersey and traveling to and from the trip on charter buses.

Payment Schedule

The total trip cost will be divided into the following payments, which are established by our travel agency:

Important: These payment deadlines are set by the travel agency and cannot be changed. If a payment is missed, your student's spot on the trip cannot be guaranteed.

In addition, all band fees must be paid in full for a student to be eligible to attend the spring trip.

When making payments, please be sure to include the following information:

• The student’s name must be included in the notes/comments section when checking out.
• If paying for a chaperone, you must include the chaperone’s full name.
• If a chaperone is splitting a room with other chaperones, you must also include the names of all chaperones they will be rooming with.

This information is required so that we can accurately track payments and finalize room assignments.

Hotel Accommodations

Student accommodations are based on four (4) students per hotel room.

Students are not permitted to pay for or request individual hotel rooms. Student room assignments will be made by Mrs. Adams. 

Chaperone pricing will be the same base trip cost of $175 per payment, plus any additional room charges if they choose not to share standard accommodations with other chaperones.

Chaperones who choose alternate room arrangements will have the following additional costs:

• Single room: Additional $280
• Double occupancy (2 adults sharing): Additional $110 per person
• Triple occupancy (3 adults sharing): Additional $55 per person

If chaperones do not request an upgraded room arrangement, they will be assigned rooms based on available chaperone accommodations with up to four (4) chaperones per room.

Students may stay in a room only with their own parent or legal guardian. If a student stays with their parent or guardian, the applicable additional room fee also applies to the student.

No other rooming arrangements involving students are permitted. No exceptions.

Chaperone Requirements

Parents and guardians are welcome to attend as chaperones. To be eligible, all chaperones must:

• Be Berkeley County Schools (BCS) approved before the trip.
• Ride the charter bus with the students to and from New York.
• Follow all school and travel policies throughout the trip.
